AI Enhanced
ERP

Ten steps. Now five. An AI-ERP runs the whole company on one record — sales, quotation, purchasing, inventory, production, projects, claims, commission and the accounts — with AI doing the repetitive half of every process. Not just invoicing. Every department, every step your people currently do by hand.

The gap

Your competitor already
removed five steps.

Same customers. Same prices. Same market. The company that took AI into its processes simply spends less to earn the same ringgit — and the difference lands in margin.

The headcount is only half of it. A person does one job at a time; the engine computes every process in the same second.

Without AI

One person per job, one job at a time.

3 admin · RM10,500 a month 9 processes computed in the same second.

Three fewer back-office salaries is RM10,500 a month — but the point is the right-hand side: commission, invoices, stock and the reports are all computed together, so the month closes on the day it ends instead of a week later.

Read as money,
that is the whole margin.

Same revenue either way. What changes is what it costs you to earn it.

Monthly cost of the back office, with and without an AI-ERP Monthly cost of the back office: RM36,000 without AI, RM14,500 with an AI-ERP. Monthly cost of the back office RM36,000 Without AI payroll + leakage RM14,500 With AI-ERP payroll + leakage −RM21,500 a month

Illustration at RM1,000,000 revenue a month — same customers, same prices. The gap is RM29,000 a month, about 29% more profit. We run it on your numbers on the call.

Where the gap comes from: six back-office people become three, leakage from overpaid commission, pricing slips, written-off stock and missed billing falls from 1.5% of revenue to 0.4%, and same-day quotes win about 3% more work. Read as margin, 10% becomes 12.9% on identical sales.

01 The usual answer: hire

✕Two more admin at RM3,500 each — RM84,000 a year — to key the same numbers into the same three places. The root cause is untouched, so the backlog returns within a quarter and the gap widens.

→

✓Remove the steps instead. The work disappears rather than being redistributed, and the people you have move to work that earns.

02 Where the five steps go

✕Enquiry → retype into a quote → chase approval → retype into an order → retype into the invoice → re-enter into accounts, each step waiting on a person.

→

✓Enquiry → AI drafts → you approve → everything downstream writes itself. Same outcome, half the handling, no rekeying.

The modules,
and where AI does the work

Sales & CRM · AI drafts and chases

Leads, follow-ups and orders on one board. AI drafts the reply, flags the lead going cold and writes the visit note, so the rep sells instead of typing.

Quotation & pricing · AI builds the quote

AI reads the enquiry, pulls the items from your price book and applies your tiers and discount limits. Ten screens become three, and the price obeys your rules every time.

Purchasing & suppliers · AI reads the documents

Supplier invoices and delivery orders arrive as PDFs or photos. AI reads them, matches them three ways against PO and receipt, and flags only what disagrees.

Inventory & warehouse · AI watches the stock

Stock moves as the work happens. AI watches consumption against lead times and raises the shortage before the line stops, not after the count.

Production & scheduling · AI plans the run

Bill of materials, work orders and capacity in one plan. AI proposes the schedule from what is actually available and recalculates when a machine goes down.

Projects & sites · AI tracks the budget

Budget, programme, variation orders and progress claims per project, with AI posting committed cost against the right line as it is raised.

Claims, commission & approvals · AI checks them

Receipts read and checked against policy, commission and incentives calculated from closed deals, and only the exceptions put in front of a human.

Accounts & receivables · AI reconciles

Invoices, payments and ageing flow from the same record into your accounting software. AI matches payments and drafts the chase, so finance reconciles instead of retyping.

Reporting · AI explains it

Ask in plain language and get the number with the records behind it — no waiting on someone to build the report first.

FAQ

Frequently asked questions

What is an ERP system?

An ERP keeps one record of the whole business - sales, operations, stock, people and money - so a number entered once is the same number everywhere, instead of living in separate spreadsheets that disagree.

Do we need a custom ERP, or will off-the-shelf do?

If your process is ordinary, off-the-shelf is cheaper and faster. Custom earns its keep where the process is the business - commission rules, progress claims, approval chains - the parts a generic product makes you work around.

Can it work with the accounting software we already use?

Yes. The ERP is the operational record and your accounts stay where they are; orders, invoices and payments flow across so finance stops re-keying.

How long before we see anything working?

We phase it. One department or one flow goes live first, so you are using it while the rest is built, rather than waiting for a single launch day.
